Quote Prices

The Quote Prices Form Contains all the Quote Details, Relevant Dates and Price Information in a Table View so the User Can Scroll through the Data. Tick Boxes Indicate if Quotes and Cost Sheets Have Been Created, and Allow the User to Select whether a Job Has Been Won or Lost and If an Ongoing Job Has Been Completed.

Quote Figures Are Pulled off a Selected  Quotation and Entered in the Database by Clicking On the 'Get Figures' Button.

Clicking On Quote Details allows the User to Look at the Name and Address Details on the Quotation.

Invoice Payments

The Invoice Payments Form Contains all the Invoice Details, Dates and Price Information in a Table View so the User Can Scroll through the Data. Tick Boxes Indicate if Invoices Have Been Created, and Allow the User to Select whether an Invoice Has Been Paid or Written Off.

The Amount Paid Is Also Entered in a Field So that Outstanding Moneys Can Be Automatically Calculated and Accounted For, and then Reports Can be Generated.

Invoice Figures Are Pulled off a Selected  Invoice and Entered in the Database by Clicking On the 'Get Figures' Button.

Expense & Payments Full Page View

The Full Page View Makes it easier for the User to Enter Lots of Data into both the 'Income & Receipts' and 'Expense & Payments' Books.

The Amount of VAT is Calculated Automatically by Putting a Tick in the Vatable Box. Selecting the 'Type' of Category Enters the Net Amount in the Correct Column in the Book or Gross Amount if VAT isn't Applicable.

So there's no Need to Calculate Figures or Scroll through the Book to Enter Amounts in the Right Column. With 14 Columns in the Expenses Book the User has plenty of Categories to Choose From!

The 'Duplicate Record' Button Copies Existing Data from the Book to a New Line, So that All the User Has to do is Change the Date to Create a New Entry (See Monthly Rent Payments, Car Insurance Payments and Petrol Payments Above).

The Second Half of the Book with the Rest of the Column Entries is Shown Below. Note the User Cant Edit these Columns because they are Filled in Automatically, but they Can Scroll Across to See the Figures for Each Column.

Export Records to Excel

Data from the Database Can be Exported to Microsoft Excel for the Invoice, Sales and Purchases Day Book and Addresses Databases. Records Can be Selected from Each Database Using the Following Forms Shown Below.

The 'Export Addresses Porfolio' Subform.

Address Details Can be Selected by Ticking the 'Export' Tick Box for Records to be Included. All Records Can Be Quickly Selected or Cleared by Clicking On the 'Select All'  and 'Clear All' Buttons. When the User Has Selected the Records to Export, the 'Export and Close' Button Closes the Form, Carries out the Export and Opens the File in Excel for Viewing or Emailing etc..

 

The 'Export Invoices' Subform.

This Form Allows the User to Export All Invoice Records In the Database, or Select a Date or Invoice Range to Filter Out the Invoice Records the User is Wishing to Export.

 

The 'Export Purchases' Subform.

The Sales and Purchase Databases Subform for 'Income and Receipts' and 'Expense and Payments' Follows the Same Format as the Invoice Subform Above. Here the User Can Only Select Export All Records or Annual Records Because Typically An Accountant May Want to Look At the Annual or Complete Records in the Database.
